It seems that you are in Canada, which has different laws than the U.S. In the U.S. you need to keep all receipts for work done. All oil, filters, and other misc supplies for the work. If there is a warranty issue, you have all the papers to show you had the work done.

I read that you can post all the DIY maintenance to CarFax and it would retain it for you, however that information would not be available to third-parties.

As the BSs have the "Wuhan Whistle", I religiously change my engine oil at 3k miles

What do you mean by that ... the Ford data collecting?

I planned to video record my oil change and write the mileage on the receipt + scan it for archiving.

But the thing with the validation record is in BOLD ... I guess it is important but can't find more info about that.

Maybe someone working at a dealer can explain me this?

A simple spreadsheet should be sufficient along with receipts of goods purchased

I was looking to double check what I need to keep to do my own oil changes without breaking the warranty requirements...

I found this... I can't find any information (reddit, google) about this log.

After every service visit, your Ford service manager gives you a printed receipt with a breakdown of the services performed and parts and materials used for every service. That service visit is logged into the Ford computer system. You can file these printed docs for your own piece of mind (I scan mine and store on a hard drive which is backed up frequently), should the service history somehow get lost in Ford's computer record system.
As for DIY service, just keep your receipts for fluids, and filters, and make a note of mileage and date when service was performed.
Don't depend on the Ford Pass app for any accurate record keeping. Every visit I've had for service looks like I had a routine 5k mile service, even though they were for other things and correcting their mistakes, and one recall.

I don't know what the laws are in Canada, but here in the U.S. there is no statutory requirement to maintain scheduled maintenance service records. The text you posted doesn't specifically state warranty claims will be denied if you don't have maintenance records. Here's the text in Ford's 2024 Warranty Guide for the U.S. market:

If you do not maintain your vehicle properly, Ford may have the right to deny you warranty coverage.

To have repairs made under this warranty, you may have to show that you have followed Ford’s instructions on properly maintaining and using your vehicle. You will find these instructions in your Owner’s Manual. Be sure to save your service receipts and to keep accurate records of all maintenance work.
Nothing says it's mandatory to keep service records. Can keeping records save you some heartburn if you need to make a claim? Yeah, sure. But it's up to Ford to prove that whatever issue you are making a claim for was caused by lack of required maintenance.

If you purchase an aftermarket warranty there may be a clause in it that allows claim denial for lack of maintenance records. Caveat emptor.

Here's one thing I would absolutely keep records of: If you take your vehicle in during the warranty period for an issue and the service department says they can't or won't fix it. Those records can serve to support a later claim that a problem existed while the vehicle was under warranty.

Also, not sure how helpful it will be but early on I noticed a strange noise when accelerating from stop/low speed just below 20 mph. Dealer checked another 24 Bronco Sport and said it was a normal noise and di not check further. While I still have plenty of time on the warranty I called Ford up and opened a case file on the issue hoping that if the issue got worse at some point down the road I can show that I complained about the issue while still under warranty.

I've done that with my Ford Pass app, duplicating their entries with reality, like installing the rear mudflap on one of the front wheel wells, drilling holes, and then having to order a new fender arch and have me to return a few days later to install it. Yeah, my local dealer's mechanics aren't very smart, like checking part numbers or reading directions.
I had my oil analyzed and it had viscosity of 5W20, not 5W30 as the Badlands 2.0L specified. They don't see many Badlands, and don't read the label on the oil fill cap apparently.

Yes, just tell them you want to open a case because of issue that you feel is not resolved and to put it on the record with Ford. They will take your information and give you a case number for your records. I than write notes of the conversation and document the case number. I add to my notes as needed. Otherwise the dealer invoice probably says could not duplicate and probably did not fully describe the issue on the invoice.
